Mail Manager FAQ's

The following are common questions relating to Mail Manager. If you have any other questions, please send them to Oasys.

FAQ's
Q. Will Mail Manager force me to save all my emails?
A. No, you can file messages as you send/receive them and if you do wait to file a batch in one go you can do that too.
Q. What about existing emails?
A. If you have old emails that you would like Mail Manager to file for you, simply select the messages to file, choose a location and let Mail Manager do the work.
Q. What if I file an email incorrectly?
A. Just drag & drop the message back into Outlook and file it again or right-click the message in the search window and pick "Move to..."
Q. If I file an email that contains an attachment into a system folder, will I be able to retrieve the attachment at a later date?
A. Yes, attachments are embedded into the saved .msg file. If you double click the .msg file it will open in Outlook with everything as it was when you received the email.

Mail Manager can also extract attachments into a separate folder so that they can be managed separately.
Q. Having filed my emails how can I find them again?
A. If they were filed into an Outlook folder, use Outlook's Find features. If they were filed elsewhere, then use Mail Manager's search tool.
Q. Can I use Mail Manager off-line?
A. Yes, if you create emails whilst away from the office, Mail Manager will ensure that messages are correctly filed when you re-connect to the office network.
Q. Where does Mail Manager file the emails?
A. That is up to you. Most people choose to file messages to file system folders. For instance, if you have a folder where you keep documents relating to a certain customer, you would get Mail Manager to file emails to and from that customer in the same folder. Mail Manager can also file message to any Outlook folder, Sharepoint folders etc.
Q. How does it help with archiving and backup?
A. If Mail Manager is used to store messages in file-system folders, then all emails and other documents will be backed-up together. When restoring data you no longer have to restore the inboxes of specific users as all related documents are in the back-up set.
Q. How does Mail Manager integrate with SharePoint?
A. Mail Manager can file to SharePoint document folders. To do so simply set the folder path to the UNC exposed by SharePoint. For instance if the URL to the Project256 SharePoint folder is: http://server5/sites/Project256/Shared Documents/Forms/AllItems.aspx

The UNC path to the folder will be: \\server5\Project256\Shared Documents\

An easy way to find out the correct path name is to open the folder in Explorer by selecting "Open with Windows Explorer" from the "Actions" pull-down menu; the full path is shown in the address bar.

To be able to index and thus search on the contents of the folders you will need to be running SharePoint 2007 or greater.
