Stace LLP are a 200 strong Professional organisation providing project management, quantity surveying, building surveying, health and safety and related specialist services throughout the UK and Europe.
Like most businesses Stace's primary means of communication is email, which they are almost totally dependent upon it. It is not only the shear amount of email we receive but also the sizes of individual messages that were beginning to give us storage and backup/recovery headaches.
Our biggest problem however, was the need to file project specific emails into a standard folder structure on a file server. Manual filing methods were slow, due to the fact that emails had to be manually renamed to reflect the email recipient details and date/time stamp as this wasn't searchable on the file server. The number of live projects active at anytime is well into the 1000's so usage of Public Folders etc. just wasn't viable for us.
When we saw Mail Manager it was pretty much an exact fit for the problem we had faced for over 5 years. It presented a very easy and quick way to file emails into our job specific folders and also gave us a search interface that really does allow us to retrieve emails quickly. The biggest plus is that as a job finishes we can simply move the job file folder to archive and know that all email is included within for future reference.
We have found that Mail Manager is very simple to configure and deploy, and unlike other solutions doesn't need dedicated servers or SQL software etc. to allow it to function. The ability to push installation out is also a bonus.
Our users have been using Mail Manager for some time now and we are pleased to admit that all feedback for it has been positive. Our users have readily accepted the product and are happy using it.
